UK Dental (uk.dental) is the data controller of your personal information and is registered with the Information Commissioner’s Office (ICO) under registration number ZC197033.

We provide a range of services for dental professionals, including GDC registration advisory, training courses, recruitment, and indemnity insurance guidance. This policy covers all of our services and this website. Where a service involves a partner organisation, such as the UK Dental Nurse Course delivered by NEBDN-accredited Dental Arch Nurse Training, this policy explains what is shared and why (see “Who we share your information with” below).

This policy explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and your rights. It applies to all personal information we collect, whether through this website, by email, by phone, on WhatsApp, or in person.

What information we collect

Enquiries and consultations. Your name, email address, phone number, country of residence, professional background, and any details you choose to share about your circumstances.

Course registrations (including the UK Dental Nurse Course, delivered by Dental Arch Nurse Training). In addition to the above: your date of birth, a copy of your passport or other photo identification, proof of your address, details of your qualifications and work experience, and payment information.

Advisory clients. Documents needed to support your GDC application, which may include identity documents, qualification certificates, references, and correspondence with the GDC.

Recruitment. Your CV, work history, qualifications, GDC registration details, and right-to-work documents.

Website visitors. Technical information such as your IP address, browser type, pages visited, and referring site, collected through cookies and similar technologies (see the Cookies section below).

We do not knowingly collect personal information from anyone under 16. Our courses and services are for adults.

Why we collect it and our lawful basis

Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we must have a lawful basis for using your personal information. We rely on:

Performance of a contract – to process your enrolment, deliver our advisory and recruitment services, take payment, and pass your registration details and documents to our training partner so your course can be delivered.
Legal obligation – to keep accounting records, verify identity where required, and comply with regulatory requirements.
Legitimate interests – to respond to enquiries, improve our services, keep our website secure, and market our services to people who have shown interest in them. Where we rely on legitimate interests, we balance our interests against your rights.
Consent – for optional marketing communications and non-essential cookies. You can withdraw consent at any time.

Who we share your information with

Dental Arch Nurse Training. The UK Dental Nurse Course is delivered by Dental Arch Nurse Training, an NEBDN-accredited course provider. When you enrol on that course, we pass your registration details, identity documents, and proof of address to Dental Arch so they can enrol you, deliver your training, and register you for your NEBDN examinations. Dental Arch is a separate data controller for the information it receives and collects, and its own privacy policy applies to its use of your data.

NEBDN (National Examining Board for Dental Nurses). As part of your course, your details are submitted (via Dental Arch) to NEBDN for examination registration and the award of your qualification.

Service providers. We use trusted third parties to run our business, including website hosting, payment processing, email, and customer communication tools. These providers act on our instructions and are contractually required to protect your data.

Insurance and recruitment partners. If you request an indemnity quote or use our recruitment services, we share your details with the relevant insurance provider or dental practice, and we will make this clear to you at the time.

Authorities. We may share information where the law requires it, for example with HMRC, regulators, or law enforcement.

We do not sell your personal information to anyone.

International transfers

Your personal information is stored and processed in the United Kingdom. If we ever need to transfer your information outside the UK, we will only do so with appropriate safeguards in place, such as an adequacy decision or standard contractual clauses approved for UK use.

How long we keep your information

Copies of passports and proof of address collected for course enrolment: deleted within 30 days of your enrolment being confirmed with Dental Arch.
Enrolment, contract, and payment records: kept for 6 years after the end of your course, to meet accounting and legal requirements.
Advisory case files: kept for 6 years after your case concludes.
Enquiries that do not lead to enrolment or engagement: deleted within 12 months.
Marketing preferences: kept until you unsubscribe or ask us to delete them.

When information is no longer needed, we delete it securely.

Automated decision-making

We do not use your personal information for automated decision-making or profiling that produces legal effects or similarly significant effects on you.

How we protect your information

We take reasonable technical and organisational measures to protect your personal information, including secure transfer of identity documents to our training partner, access limited to staff who need it, and secure disposal of documents no longer required.

Your rights

Under UK data protection law you have the right to:

Access the personal information we hold about you
Rectify information that is inaccurate or incomplete
Erase your information in certain circumstances
Restrict or object to our processing in certain circumstances
Data portability – receive your information in a usable format
Withdraw consent at any time, where processing is based on consent

To exercise any of these rights, email our Data Protection Lead at DPO@uk.dental. We will respond within one month. We may ask you to verify your identity before acting on a request.

You also have the right to complain to the Information Commissioner’s Office (ICO) if you are unhappy with how we handle your data: ico.org.uk or 0303 123 1113. We would appreciate the chance to resolve any concern first, so please contact us before approaching the ICO.
